Low-stock alerts
When ChatBeds warns you that an item is running low, who hears about it, and how to reorder in one step.
You don't need to check the shelves every day. When stock of an item drops to its low level, ChatBeds sends one WhatsApp alert to the right people.
When an item counts as low
- With a reorder level: low at or below that number.
- Without one: low below the par level (the number to keep).
- With neither: never low.
Set these on each item. See Stock items.
The alert
If some is already on order, the alert says so, with the order numbers. When none is left, the alert says Out of stock and is sent as a high-priority alert.
Who is told
The alert goes to the supervisor for that kind of item, and to the GM:
| Item kind | Supervisor told |
|---|---|
| Linen, Guest amenities, Minibar, Cleaning | Housekeeping supervisor |
| Maintenance | Maintenance lead |
| Office | Front desk manager |
| Kitchen, Other | The GM only |
The person who used the stock doesn't get an alert. Their own reply already tells them it's low:
How often
- Once per drop. More use while the item is still low sends nothing more.
- Again after a restock. Once the item is back above its level, the next drop alerts again.
- Quiet hours. A low-stock alert during your hotel's quiet hours is not sent, and not sent later either. Out-of-stock alerts follow the same rule: only critical alerts break quiet hours.
Each person can also choose which alerts reach them on the Staff page. See Alerts and shifts.
Checking what is low any time
Because some alerts can be skipped in quiet hours, check the list whenever you like:
On Inventory, the summary at the top shows how many items are low or out. Each item shows Low or Out in the Status column, and the Coming column shows what is already ordered.
Low items also appear in the operations briefing (briefing ops). See Alerts and shifts.
Next step: reorder
Reply po auto to an alert, or click Order what is low on the Inventory page. See Purchase orders.
