Ana at reception

Check-in and check-out at the kiosk

How guests find their booking safely at the kiosk, each check-in step, assisted or self check-in, check-out, and walk-in bookings.

Guests can check in and out by talking to Ana or by touch. The steps are the same either way, and what Ana does shows on the screen.

Finding the booking safely

A kiosk is a public screen, so ChatBeds is strict about who sees a booking.

Two things that match

  • To check in: the surname and the booking reference from the confirmation (6 letters and numbers).
  • To check out: the surname and the room number.

Something only the guest knows

The last 4 digits of the phone number on the booking. If there is an email on the booking, the guest can press Email me a code instead and type the 6-digit code from the email.

  • Nothing shows before that. Not even whether a booking was found.
  • One booking only. The kiosk never lists bookings or mentions other guests. A wrong answer and a missing booking get the same words.
  • After 3 misses, the kiosk calls the desk and pauses look-ups for a minute.
  • What the guest then sees: their first name, the dates, the room type, the number of guests and what is owed. Never the full phone number, email, address or ID details.

Check-in, step by step

After the booking is found, the kiosk goes through only the steps that apply:

  1. Registration details. Only where your country's law asks for them, such as full name, nationality, passport or ID number, or date of birth. Settings shows which ones apply to you. They are stored encrypted, never shown on the kiosk again, and deleted after the period your country sets (90 days after the guest leaves, unless your country's law asks for longer).
  2. ID. As you chose in ID at check-in:
    • Show it at the desk: the desk is asked to check it, and the guest carries on meanwhile. The check-in finishes only once the desk presses ID seen.
    • A photo at the kiosk: the guest agrees, then photographs their passport or ID card with the tablet's camera. The photo is encrypted and deleted after the period your country sets. This option is offered only in countries where it is allowed.
    • With both ticked, you choose whether the guest picks one or both are required.
  3. The hotel's terms, if you wrote them. The guest reads them and signs on screen.
  4. Payment, in one of the ways you allow. See Payments at the kiosk.
  5. The room. The booking's room if it is clean, or another clean room of the same type. Never a dirty or out-of-order room. If none is ready, the guest is told, and the desk is asked to keep their luggage.
  6. The key. From the desk, or from your key-card system. See Key cards.

At the end the screen shows the room number large, and a QR code for the guest's stay page on their phone.

Assisted or self check-in

Choose under How check-in is done:

What happens at the end
Assisted (default)Ana does every step. The desk gets "please finish the check-in", then presses Finish check-in on the Front Desk page and hands over the key.
Self check-inThe kiosk checks the guest in. The desk is asked to hand over the key, unless it came from a dispenser.

If you tick both, self check-in is used.

Show, don't say

Guests can tick Show, don't say. Ana then won't say names, amounts or the room number out loud; she says "as shown on your screen".

Check-out

The guest finds their stay by surname and room number, confirms it is theirs, sees the bill and pays anything left. After Check out, they can rate the stay from 1 to 5 stars. The desk is told a key is being returned.

Like any check-out, the room is marked dirty and housekeeping is told. Keys from your key-card system are cancelled.

Walk-in bookings

With Walk-in bookings ticked, on Reception Plus or the free try, a guest without a booking presses Book a room:

  1. They choose the nights (1 to 14) and the number of guests, and press See rooms from tonight.
  2. They pick a room type, shown with the total for the stay.
  3. They give their first name and surname, their mobile number with the country code, and an email if they like, and press Book and check in.
  4. The check-in steps above follow, including payment.

The booking's source is Walk-in.

In the activity log

Everything done at the kiosk is in the activity log as "Guest at reception, with Ana". See Activity log.
