What guests can do, and your hotel's information
Choose what guests may do at the kiosk, and write the hotel information Ana answers from. Plus the Call someone and Emergency buttons.
What guests may do
In Settings → Reception → What guests may do, tick any of:
| Choice | What the guest can do |
|---|---|
| Questions and requests | Ask about the hotel, and ask for things like towels, a taxi, or a repair |
| Check-in | Find their booking safely, give their details and ID, pay, and get their room |
| Check-out | See the bill, pay what's left, rate the stay, and leave the key |
| Walk-in bookings | Book a room from tonight without a booking (Reception Plus) |
The default is questions and requests only. What guests can do also depends on your plan: walk-in bookings need Reception Plus. On the free try, guests can do everything you tick.
The kiosk shows a button only for what guests may do. Hotel information and Call someone are always there.
Check-in and check-out are explained in Check-in and check-out at the kiosk.
Your hotel's information
Ana answers guests only from what you write here. She never makes up a time, a price, a restaurant or a service. If the answer isn't here, she says she doesn't know and offers to call someone.
Fill it in under The hotel's information and press Save the information:
- Wifi name and Wifi password
- Breakfast: times and place
- Parking
- Pool and gym hours
- Pets and Smoking
- Nearby recommendations
- Anything else guests often ask
- Emergency number (local) and The hotel's own emergency contact
- Night number (no one at the desk)
Check-in and check-out times come from your property's settings, so you don't type them here.
Guests see the same information on the kiosk's Hotel information button. Write it once.
On the guest's stay page
The same information also shows on each guest's own stay page, so guests can read it on their phone. Two things are different there:
- The wifi password shows only while the guest is checked in.
- The night number is not shown on the stay page.
See The guest's own page.
On the kiosk, Hotel information shows the wifi name but never the password: anyone can stand at the screen. A guest gets the password on the screen when they finish checking in there, and Ana gives it only to a guest who is checked in.
Call someone
Call someone is always on the kiosk, even when reception is closed or Ana's minutes are used up.
- Your front desk staff on duty get a WhatsApp alert.
- The guest sees "Someone is on the way." once a staff member answers.
- If nobody answers in time, your managers are told.
Ana also calls someone by herself when a guest is upset, asks for a person, can't find their booking, or asks for something she can't do.
See Guest requests and the front desk.
Emergency
The red Emergency button is always on the kiosk.
- The screen shows Help is coming with the emergency number, and your hotel's own emergency contact if you wrote one.
- Everyone at the front desk and your managers get an emergency alert on WhatsApp, on duty or not.
- If you didn't write an emergency number, ChatBeds uses your country's.
If a guest tells Ana about an emergency, such as someone ill, a fire or a security problem, she does the same at once. She doesn't try to handle it herself.
Outside your hours
If you set hours, outside them the kiosk says the desk is closed and shows your Night number. Check-in, check-out and walk-in bookings are not offered until the desk opens, by touch or by voice. Hotel information, Call someone and Emergency still work.
Still need help?
Set up the desk
Turn Ana at reception on, pair a tablet with an 8-letter code, lock it to the reception page, and choose the desk's hours and settings.
