Inspections and photo checks

Pass or fail cleaned rooms, see the inspection queue, and use room photos with the AI photo check.

Every room a housekeeper reports clean waits for inspection before it's sold again. A supervisor checks it and passes or fails it. Stay-overs (rooms cleaned while the guest is still staying) skip inspection.

Who is told when a room is ready to inspect

When a room is reported clean, ChatBeds tells the housekeeping supervisors on duty. If none is on duty, every housekeeping supervisor is told. If there is none at all, the GM, then the owner. If the housekeeper sent a photo, the alert includes what the photo check saw.

Passing and failing rooms

On the Housekeeping board, rooms waiting are in the To inspect column.

  • Click Pass. The room becomes Ready.
  • Click Fail, fill in What needs doing again (for example "Redo the bathroom") and click Fail the room. The room goes back to To clean.
  • Click Approve all to pass every room waiting.

Rules

  • Only a room waiting for inspection can be passed or failed.
  • A fail needs a reason. Without one, ChatBeds asks you what needs doing again.
  • When a room passes, the housekeeper who cleaned it is told.
  • When a room fails, the housekeeper who cleaned it (or was given it) is told why. If they aren't on WhatsApp, or only take critical alerts, the housekeepers on duty are told instead.
  • A failed room shows "Failed" and the reason on its card, and "redo:" in the housekeeper's my rooms.
  • If two supervisors act at once, the room is never passed twice. Approve all skips a room someone else just passed or failed.

Room photos

A photo helps the supervisor see the room before walking up.

On the board, click Photo on a room that is to clean, being cleaned or waiting for inspection, and choose a picture.

What happens to the photo:

A caption with only a problem, like 301 tap leaking, opens the ticket and keeps the photo, but doesn't change the room's status. An inspection can't be sent as a caption: send 301 pass as a message.

The photo check

ChatBeds looks at each room photo with AI and gives it a score from 0 to 100 for how ready the room looks. It lists up to five things to fix.

  • The housekeeper sees the score in the reply, so they can fix things before the supervisor arrives.
  • The supervisor sees it in the "ready to inspect" alert, in queue and on the board card.
  • A score under 80, anything to fix, or a photo that doesn't show a room is marked for a close look (amber on the board).
  • A new photo of a room already waiting alerts the supervisor only if the check found something.

The photo check only advises

It never passes or fails a room. A supervisor always decides. If the check doesn't answer, the photo is kept for the supervisor without a score.

Privacy and storage

  • Only the photo is checked. No names, room numbers or guest details are sent with it.
  • Photos are shown only to your own team's logins.
  • Pictures are deleted after 30 days. The score and what was seen stay.
  • Each photo can be up to 5 MB, and up to 10 photos per clean. Send JPEG, PNG, WebP or HEIC.
  • When a room fails inspection, that clean's photos leave its card (they stay in the room's history), so the next clean starts fresh.

Photos can show guests' belongings. Ask housekeepers to photograph the room, not personal items.
