Floors and assignments

Give rooms to housekeepers, and use floors so each person gets the alerts and rooms for their part of the hotel.

You can let housekeepers pick up any room, give rooms to specific people, or split the hotel by floor. Mix them as you like.

Floors

Floors decide who hears about which rooms. Set them in two places:

Give each room a floor

On the Rooms page, edit a room and fill in Floor.

Give each housekeeper a floor

On the Staff page, edit the person and fill in Floor (optional), for example 2.

What floors change:

  • Alerts. When a room needs cleaning, the housekeepers on duty on that floor are told. Without floors, every housekeeper on duty is told.
  • My rooms. A housekeeper with a floor sees the rooms given to them, then unassigned rooms on their floor. Without a floor, they see unassigned rooms anywhere.

The board shows each room's floor on its card. See Staff and shifts.

Giving a room to someone

  1. Open the Housekeeping board.
  2. On the room's card, use the drop-down that says Not given to anyone.
  3. Pick a housekeeper. To take it back, choose Not given to anyone.

That person is told in WhatsApp.

Rules:

  • Rooms can be given to housekeepers and housekeeping supervisors of the same property.
  • Giving rooms to people needs a role that can inspect rooms: Owner, Admin or Housekeeping.
  • A room that is already done can't be given to anyone.

The order rooms come up in

Whether given or not, a housekeeper's my rooms list is sorted the same way:

  1. the room they are cleaning now;
  2. rooms with a guest arriving today;
  3. check-outs;
  4. the oldest.

After each 301 clean, the reply names the next room. See Cleaning from WhatsApp.

Being on duty

Alerts for "housekeepers on duty" only go to people who have clocked in. Housekeepers send clock in at the start of a shift and clock out at the end. A manager can also clock someone in on the Staff page. See Alerts and shifts.

Tip: a simple daily routine

In the morning, check the To clean column. Give arrival rooms to your fastest people first. Let everyone else work from my rooms.
