Cleaning from WhatsApp

The messages and voice notes housekeepers send, how ChatBeds reads them, and the order rooms are cleaned in.

Housekeepers work entirely from WhatsApp. They start each message with the room number, then say what happened. They can type it or send a voice note, in their own language. See Languages and voice notes.

The basic messages

The reply to "clean" says how long it took and which room is next.

Saying more in one message

A housekeeper can report the room, the minibar and a problem all at once. This works well as a voice note:

  • Minibar items go on the guest's bill when ChatBeds can be sure. See Supplies and minibar.
  • Problems such as "stain on the carpet", "tap leaking" or "TV not working" become a maintenance ticket. If the same problem is already open for that room, it's added to that ticket. See Reporting problems.
  • The reply repeats everything ChatBeds understood, so a misheard voice note is spotted at once.

When ChatBeds asks instead of guessing

A room is never reported clean by a message that says it isn't.

  • Two different things, like "301 clean but dirty", changes nothing. The reply asks which.
  • "Not clean" means dirty. Any other "not", such as "not done yet", "isn't ready" or "will start soon", changes nothing and asks again.
  • Minibar words: "nothing taken from the minibar" records nothing. "Used", "taken" or "opened" count as minibar only after a number: "2 waters taken" counts, "used towels on the floor" does not.
  • A room that doesn't exist, or a message with no status and nothing noticed, gets an example back.

I could not tell where room 301 stands. Nothing was changed. Send 301 cleaning when you start, 301 clean when it is done, or 301 dirty.

My rooms and the order of work

my rooms shows the rooms to clean. A housekeeper sees the rooms given to them first, then rooms nobody has been given (on their floor, if they have one). The list is in this order:

  1. the room they are cleaning now;
  2. rooms with a guest arriving today;
  3. check-outs;
  4. the oldest.

Notes in the list tell you why a room is there: "being cleaned", "arrives today", "check-out", "redo:" and the reason it failed, or "not given to anyone yet".

Rooms on do not disturb are left out of my rooms until the guest lets housekeeping in.

Sending a photo

Send a photo of the room with the room number as the caption, like 301, or 301 clean, 2 waters taken. A room still to clean or being cleaned is reported done with the photo. See Inspections and photo checks.
