WhatsApp operations

How your team runs the hotel by sending messages and voice notes to your hotel's WhatsApp number.

With ChatBeds, your hotel's own WhatsApp number becomes a front desk, a housekeeping board and a maintenance log in one. Staff send short messages or voice notes. ChatBeds does the work and replies in seconds. Everything shows live on the dashboard.

CBYour hotel on WhatsApp · Lucas, housekeeper
301 clean
Room 301: clean (24 min), waiting for inspection. The supervisor has been told. Next: room 302, check-out.

How it works

  1. You connect your hotel's WhatsApp number to ChatBeds, from the Chat page.
  2. You add your staff on the Staff page, each with their role and their own WhatsApp number.
  3. Staff send commands to the hotel's number: checkin 101, 301 clean, AC leaking in 305. They can type, or send a voice note in their own language.
  4. ChatBeds checks the role. Each person can only do what their role allows. A housekeeper cannot make a booking.
  5. The work is done exactly as if it were done on the dashboard: same prices, same checks, same activity log.
  6. The right people are told. A check-out alerts housekeeping. A new ticket alerts maintenance. Alerts go to people on shift.

Staff and guests on the same number

ChatBeds knows who is writing by their phone number.

  • Staff are the people on your Staff list. Their messages are read as commands.
  • Everyone else, such as guests, never reaches a command. Their messages go to the Unified Inbox for a person to answer. You can set a short automatic reply for them on the Chat page.

Try it without a phone

The Sandbox tab on the Chat page runs any message exactly as WhatsApp would. Pick a staff member under Send as and type a command. It is the best way to learn the commands before your team goes live.

Sandbox commands really happen. A booking made in the sandbox is a real booking.
