Languages and voice notes
Your team can write or speak in any language, and you choose the language ChatBeds replies in.
Your staff do not need to learn exact commands in English. They can write a normal sentence, or send a voice note, in the language they are most comfortable with. ChatBeds works out what they mean and does it.
Typed commands run instantly
Plain English commands, like checkin 101 or 301 clean, run straight away. Use them when speed matters, for example at a busy front desk.
Everything else is read by ChatBeds' AI first:
- A message in another language, such as Spanish, Arabic or Hindi.
- A message in another alphabet.
- A booking written as a sentence, like "book room 101 for Daniel Moore for two nights from today".
- Anything that does not match a command.
Write in any language
ChatBeds turns the message into one of the person's own commands, then runs it exactly as if they had typed it. When the message was not in English, the reply starts with the command ChatBeds understood, so the person can check it.
The same works in French, Arabic, Hindi, Portuguese, Turkish, German and many other languages. Numbers written in other scripts count too: room numbers in Arabic or Hindi digits are read as normal room numbers.
Voice notes
A voice note is written out and read the same way as a typed message. The reply starts with what ChatBeds heard, so the person can check it.
Voice notes are great for housekeepers and maintenance staff with their hands full. Keep them short and clear: one request per voice note works best.
ChatBeds asks for missing details
ChatBeds never invents a room, a guest name, an amount or a number of nights. If something is missing, it asks for every missing detail in one question. The person answers in a new message, and ChatBeds reads it together with what they said before.
- The question stays open for 10 minutes.
- Send
cancelto drop it. Nothing is changed. - If the next message is a different command, ChatBeds understands that too.
Roles still apply
Understanding a message is not the same as allowing it. The command runs with the same role checks as a typed one. If a housekeeper asks, in any language, to book a room, ChatBeds refuses. See Roles in chat.
Choose the reply language
You choose the language ChatBeds replies in, for the whole hotel.
- Open Chat → WhatsApp number.
- Find Chat language.
- Under Reply in, pick an option. It is saved straight away.

These are never translated, so everyone sees exactly the same thing:

When a fixed language is not English
If you choose a fixed language other than English, more messages go through the AI first, including short commands that carry free text, like a room report. This helps staff who mix languages. Plain commands such as arrivals still run at once.
If other languages are not switched on
If the Chat language box says that understanding free text and other languages is not switched on, typed English commands still work as usual. Replies are in English. Contact ChatBeds support to switch it on.
In the same way, if a voice note cannot be read, ChatBeds replies "Voice notes are not switched on for this hotel yet" or "I could not listen to that voice note just now". Ask the person to type the command, or try again later.
Tips for your team
- Say the room number clearly, and the guest's full name.
- Say the nights, like "two nights", not just "until the weekend".
- One request per message. Two requests in one voice note may need a follow-up question.
- Check the first line of the reply: it shows what ChatBeds understood.
