How guest profiles work, how to book a returning guest, and how to keep their details up to date.

Every booking belongs to a guest. ChatBeds keeps one profile per guest across your account, with their first name, last name, phone and email. When the same person comes back, you can book them on the profile you already have instead of typing it all again.

Booking a returning guest

Open a new reservation

Click New reservation and fill in the stay and room.

Choose Returning

In the Guest part of the form, switch from New to Returning.

Type at least two letters of their name, phone or email in Find a guest by name, phone or email. Click the right person.

Book

Their contact details are filled in. Finish the form and click Book.

If nobody matches, you'll see "No guest found. Switch to New to add them."

Updating a guest's details

  1. Open any of the guest's bookings.
  2. Click Edit in the Guest section.
  3. Change the First name, Last name, Phone or Email.
  4. Click Save changes.

The change is saved on the guest's profile, so it shows on their other bookings too. You can still change guest details on a finished or cancelled booking.

What the booking panel shows about the guest

The Guest section of a booking shows:

  • Guests: the number of adults and children;
  • Phone and Email ("Not given" if empty);
  • Booked through: where the booking came from;
  • Rate plan, if there is one;
  • Arriving about and Guest's note, when the guest gave them on your booking page.

Finding a guest's bookings

On Reservations, search by guest name, phone, room or reference. Use the All tab to see past and future stays together.

Sending the guest their page

Click Copy guest link on a booking. It copies a link to the guest's own page: their booking, their bill, paying and extras. Send it by WhatsApp or email. See Extras and upsells.

Messages from guests

Guests who write to your hotel's WhatsApp number never reach the staff commands. Their messages land in the Unified Inbox for a person to answer.
